CAMP DISCOUNTS AND POLICIES

The Improv Playhouse Theater is committed to providing a safe and positive creative environment for our students, and does not discriminate on the basis of gender, race, religious affiliation, or any other factor in the registration of students or the hiring of staff. As deemed necessary or desirable by IP staff, however, Improv Playhouse Theater reserves the right to withdraw or refuse registration of, and to expel, any camper or students who conduct themselves in a manner that is not conducive to a safe and positive creative environment. Campers are expected to be courteous and respectful at all times to other campers, IP teachers, IP staff, and IP property. IP is not responsible for any injuries sustained on its premises.

Parents, please keep in mind: Improv Playhouse Theater cannot be responsible for children before or after camp time unless they are registered for pre-camp or post-camp care. It is the responsibility of the parent to be at the Camp Location on time to pick up their children. Camp staff is not on site outside of camp hours.

REGISTRATION AND ENROLMENT POLICY

REGISTER EARLY: Enjoy helping your camper select a session to attend and please register as early as possible. Some sessions fill up very quickly. See you at camp this summer. 

FULL PAYMENT: Must be received no later than 4 weeks prior to camp session, required in full for any posted discounts and for your camper’s participation in any camp session.  Exceptions do exist for “last minute” registrations, however we do recommend early registration as some camps fill quickly.  Always feel free to inquire if a session has availability for your camper’s enrollment (No discounts will apply to late enrollments.  See applicable late fees below)

DEP0SIT AND CANCELLATION POLICY

Full Day Camp Deposit:   $150.00 required upon enrollment.

1-Week Camps and 1/2 Day Camp Deposit: $75.00

EARLY BIRD DISCOUNT is applied if FULL REGISTRATION received prior to DISCOUNT DATES BELOW.

REMAINING BALANCE DUE: 100% of the remaining balance due is automatically charged to the credit card on file on the camp’s due date (4-weeks prior to each session) if no discounts apply.  Due to the limited enrollment and popularity of the Improv Playhouse Summer Camps Programs, there are no refunds for any session once the session has begun for non-medical reasons.

REGISTRATION AFTER DUE DATES & LATE FEE: Any registrations received after the camp’s balance due date must be paid in full at the time of registration and must pay an ADDITIONAL $25 LATE FEE for each camper registered. No discounts apply to late registrations.

CREDIT CARD FILING REQUIREMENT: Credit Card is required for our files and will remain on file through the camp season. Your credit card will be used if your camper’s tuition has not been paid by the required scheduled due date. You may pay your camper’s tuition by check or cash.

  5. Save ADDITIONAL $15 off each TOTAL camp price for individual campers attending TWO or more camps!
  6. Need-based Scholarships are available on a first come, first served basis.  Please inquire about payment plans.

COVID19-2021 ADOPTED POLICY

AS WE ADAPT AND MODIFY OUR POLICIES.  THANK YOU FOR YOUR PATIENCE AND UNDERSTANDING.

Camp deposit refund policies are changing around the nation due to Covid-19 protocols and state guidance.  Below you will find our refund policies respected under normal conditions.  However, should refunds be requested at this time, we are forbearing any refunds and crediting accounts for future camps or programming.  Camps will be held with smaller groups and safe spaces for the summer of 2020.  Additional options will be forthcoming.

REFUND TRANSFER TO DONATION

Should you wish not to take any of our smaller camp group options this summer or forward your credit to future camp sessions or academic year workshops would you please consider donating your deposit, a portion or your full tuition to Improv Playhouse Community Outreach and Education.  Scholarships are provided for many students as well as programming offered to under-served communities during normal cultural circumstances and, especially, during this difficult time.   A tax deductible receipt can be provided from IP-COE, recognized by the IRS as a 501(c)(3) organization.  

UNDER NORMAL CONDITIONS

  • If cancellations occur within 4 weeks prior to session start date the entire tuition, including deposit, will be forfeited.
  • After the four week deadline the only exceptions considered will be proof of medical or family emergency with documented proof from physician or other verifiable documentation. -Cancellations received after the camp’s balance due date will be charged the full remaining balance.
  • All cancellations must be made in writing and submitted to office@improvplayhouse.com prior to the camp’s balance due date.

Tuition is non-transferable & non-refundable and no discounts will be applied unless otherwise specified as IP Policy.  Full registration fees are required upon registration prior to class or workshop session unless a scholarship applies or a negotiated payment plan demonstrates financial need.  Students who provide written notice of cancellation within ONE WEEK (Seven working days, excluding Saturday, Sunday, and federal and state holidays)of paying tuition before the first class are entitled to a refund of all monies paid, excluding a nonrefundable, $50 administration fee plus the $150/$75 deposit.  Tuition is forfeited if cancellation occurs less than 7 days prior to first class, workshop or production.  Balance will become a customer credit should cancellation occur within the 7 days prior to first class or may be applied to another, concurrent or future class within one year of that registration date.  Refunds, credits, or proration will not be issued for registrants who are absent or unable to attend for any reason. Registration fee and any monthly payments prior to the last day of attendance during class, workshop or production sessions are non-refundable. All refunds will be provided via check within 30 (thirty) days or by month’s end (whichever is sooner) of withdrawal or cancellation. 

CANCELLATIONS DUE TO MEDICAL REASONS must be verified in writing by the attending physician. Camp Fee (less $150 deposit/ processing fee) will be issued upon receipt of physician verification. Medical cancellations must be verified within 30 days of cancellation to receive full refund (less $150 processing fee). Within 30 days prior to camp session, only half tuition will be refunded (less $150 processing fee). In cases of withdrawal during camp based on doctor’s orders, remaining tuition may be refunded less a $150 processing fee. 

BEHAVIOR POLICY

The Camp Director reserves the right to dismiss any camper whose behavior affects his/her ability to participate or is detrimental to the members of the camp.  No refund will be made for campers dismissed from camp for behavioral issues. No refund will be made for absences, dismissals or unexcused withdrawals before the end of the session. 

SCHOLARSHIP APPLICATION

Applications for financial assistance must be submitted no later than two weeks prior to your camp session in order to be considered. 

MAKE-UP CAMP DAY POLICY

Due to the cohesive ensemble we form in each class and production, if a student misses a camp day, there are no make-up sessions. The student cannot come to a similar camp on a different day to attempt to make up the missed camp day, and there are no refunds or pro-rating. If a camp day is cancelled due to facility closure or emergency no make-up camp day will be scheduled & no refund will be offered.

SPECIAL NEEDS

Our classes are fairly physical and highly interactive. If your child is not able to participate in these normal class activities with or without reasonable accommodation, please advise. Our staff is not responsible for, nor are they trained to support children with special needs. Without exception parents or guardians of potential students within the spectrum of special needs are required to submit health related documents which may include a request for their child’s IEP (Individual Education Program). Improv Playhouse Theater administrators hold the right to accept or refuse students based on this criteria so as to support the organization’s training center AND camp guidelines. RULES FOR OTHER CREDITS

  • Credit is non-transferable except to a direct sibling
  • Extended care fees can be credited (100% credit) for one year or refunded minus a 10% fee.
  • Once the camp session begins, there are no refunds (full or pro-rated) or credits.
  • Credits for Non-Medical Reasons (Non-transferable except to a direct sibling)

TRANSFERS OF CREDIT

Transferring From One Program To Another OR Transferring To Another Week(s)

If you wish to transfer your child(ren) from one Camp program to another. Transfer rules are the following:

  • The camp program must be available and not sold out (see website or call office for availability).
  • Transfer requests must be completed no later than one week prior to the start date of the original camp program.
  • If there is an increase in tuition, parent is responsible for paying the difference of the camp tuition.
  • If there is a decrease in tuition, parent is not eligible for a credit from the difference in the balance.

REGISTRATION CONFIRMATION & EMAIL COMMUNICATIONS

Once you register and pay for your camp program(s), you will receive a camp confirmation email. For your own records, please hold onto this confirmation until the first day of camp. You will not receive a phone call or any USPS mailed confirmation. You will, however, receive an email the week before your session(s) of camp. This email will clearly explain any up-to-date camp information along with all necessary carpool, directions, and what to bring to camp information.

COMPLETING CAMPER HEALTH FORMS Identity Forms & Paperwork

All campers must complete the necessary camp forms in order to participate in Improv Playhouse Performing Arts Camps. These forms are required by both the County and the State—depending upon the location your child will attend camp. Please send the forms back to the Improv Playhouse Office no later than June 1.

POLICY ON ELECTRONICS, Toys, Trading Cards & Pins

Improv Playhouse Performing Arts Day Camps strives to provide a program free from video games, cell phones, audio players, toys and other distractions. Please do not permit your child to bring any of these items to camp as they will be busy throughout the camp day and these items also tend to get lost or misplaced when brought to camp.

REPORTING ILLNESS AND ABSENCES DUE TO ILLNESS

Improv Playhouse should be notified by phone (847) 968-4529 or E-MAILi if a child is ill, especially if the illness is communicable. The Improv Playhouse Camps staff will post a notice of communicable illness (confidentiality is respected) to notify the parents of all children that may have been exposed. Families are still responsible for paying tuition for the day of the absence. 

DISCIPLINE POLICY

Improv Playhouse Performing Arts staff uses the positive techniques of guidance, including logical or natural consequences applied in problem situations, redirection of children to more acceptable behavior, anticipation of and elimination of potential problems and encouragement of appropriate behavior rather than comparison, competition or criticism. Consistent and clear rules are established. Staff members encourage children to solve problems rather than imposing solutions. Our counselors help children to recognize and respect one another’s feelings. Counselors encourage pro-social behavior such as cooperation, helping, taking turns and constructive verbal communication to solve problems. The goal is to help children internalize rules and become self-directed in their behavior. Improv Playhouse Performing Arts reserves the right to dismiss a child for consistent behavior that makes it difficult or impossible for the staff to meet his/her needs and/or the needs of other children in the group. This will occur without a refund (or portion thereof) or credit towards a future program. This will occur only after parent/staff discussion has occurred.

IMAGE RELEASE

Improv Playhouse will be taking photos and video at our events, classes, workshops and camps and posting them at our website, YouTube and other social media on the web. If you don’t wish to be included, please inform the photographer or film maker. With this understanding our families and students grant to Improv Playhouse, its representatives and employees the right to take photographs of its students and their property in connection with Improv Playhouse events, workshops and classes. You authorize Improv Playhouse its assigns and transferees to copyright, use and publish the same in print and/or electronically. You agree that Improv Playhouse may use such photographs with or without your name and for any lawful purpose, including for example such purposes as publicity, illustration, advertising, and Web content. If you don’t wish to be included, please inform the photographer or film maker. With this understanding our families and students grant to Improv Playhouse, its representatives and employees the right to take photographs of its students and their property in connection with Improv Playhouse events, workshops and classes. You authorize Improv Playhouse its assigns and transferees to copyright, use and publish the same in print and/or electronically. You agree that Improv Playhouse may use such photographs with or without your name and for any lawful purpose, including for example such purposes as publicity, illustration, advertising, and Web content.

CELL PHONES, TABLETS, TEXTING AND BEEPERS

The use of cellphones, texting, tablets AND beepers are strictly prohibited during camps. If you have a cell phone, beeper or other electronics, please turn it off or put it on vibrate during each day of your session. Cell Phone use and texting is NOT permitted during camp time under any circumstances.  Electronic devices will be turned in to Camp Leaders/Counselors at the beginning of camp and returned at the end of each day’s session.

BEFORE AND AFTER CARE AVAILABLE: $15/hour per child.

ALL CAMPERS WILL ENJOY (WHERE APPLICABLE): 

  • AIR CONDITIONED Theaters, Classroom w/fridge at all facilities.. 
  • STAFF SUPERVISED: The school playground and fields for picnic lunches, outdoor rehearsal and recreation. 
  • STAFF SUPERVISED: Dairy Queen! Smoothies! Wraps! Downtown Libertyville, Highland Park activities!
  • Programming directed by entertainment business professionals. 
  • Camps taught by mature, gifted, nurturing drama specialists.
  • If available: Behind the Scenes Field Trips to The Marriott Theater and Sound Stages 
  • Each child will receive ONE FREE Improv Playhouse Performing Arts Camp T-Shirt. Additional T’s $10. 

Improv Playhouse

Participant Liability Waiver and Hold Harmless Agreement 

Please read this document carefully and be aware that by registering for and participating in any Improv Playhouse program(s), or by registering your minor child/ward for participation in such program(s), you will be waiving your rights and/or the rights of your minor child/ward to all claims for injuries you or your minor child/ward might sustain arising out of such program(s), and you will be required to indemnify, hold harmless and defend the Improv Playhouse for any claims arising out of participation in said program(s). 

RISK OF INJURY: “As a participant in the program, or as a parent or legal guardian of a participant under 18 years of age, I recognize and acknowledge that there are certain risks of physical injury, and I agree to assume the full risk of injuries, including death, damages, or loss which I may sustain as a result of participating in any and all activities associated with the program.”


WAIVER OF INJURY CLAIMS: “I agree to waive and relinquish any and all claims I may have arising out of, connected with, or in any way associated with the activities of the program.” 

RELEASE FROM LIABILITY: “I do hereby fully release and discharge the Improv Playhouse and its officers, agents, and employees from any and all claims from injuries, including death, damage or loss which I or my minor child/ward may have which may occur on account of participation in this program.” 

INDEMNITY AND DEFENSE: “I further agree to indemnify, hold harmless and defend Improv Playhouse and its officers, agents, and employees from any and all claims from injuries, including death, damages and losses sustained by me or my minor child/ward and arising out of, connected with, or in any way associated with the activities of the program.”

EMERGENCY MEDICAL CARE: “In the event of any emergency, I authorize the Improv Playhouse to secure from any licensed hospital, physical, and/or medical personnel any treatment deemed reasonable and necessary for my minor child’s immediate care and agree that I will be responsible for payment of any and all medical services rendered.”

AGREEMENT I have read and fully understand and agree to this Participant Liability Waiver and Hold Harmless Agreement. I indicate this agreement with my signature and date below.
